Our Role as a Data Processor (GoHighLevel Accounts)
When we provision, build, or manage a GoHighLevel sub-account for our clients, our clients act as the Data Controller for the information they input into that system. We act strictly as a Data Processor operating under our client's instructions and a dedicated Data Processing Agreement (DPA).

- Identity & Contact Data: Full name, business email address, corporate telephone number, company name, and job title.
- Operational & Business Insights (Quiz Data): Information you intentionally provide when filling out our business diagnostic quizzes (including structural setup, sales processes, current lead acquisition methods, and marketing pain points). Note: Quiz responses are processed anonymously until you submit your contact info at the end to tie them to your profile.
- Visual & Audio Data: Video footage, raw camera files, and photographs captured during on-site content production shoots at business locations or corporate events.
- Technical & Usage Data: IP address, browser type, time-zone settings, and how you navigate our website or funnels.
3. How We Collect Your Data

- Every email includes a natural textual call-to-action allowing you to opt out by replying with a single word (e.g., "STOP").
- Once an opt-out request is received, your data is instantly added to a global Suppression List to ensure you are never contacted by our organization again.
6. Data Retention: How Long We Keep It
We will only retain your personal data for as long as necessary to fulfill the purposes we collected it for, including satisfying any legal, accounting, or reporting requirements.
- Client Records & CRM Data: Kept for the duration of your contract, and up to 6 years post-termination for tax, financial auditing (Xero/GoCardless), and legal purposes.
- Visual Media Assets (Video/Photos): Stored securely on our cloud networks (Google Workspace / GoHighLevel) for a standard period of 3 years following contract conclusion to assist with continuous asset adjustments or creative verification, unless earlier erasure is explicitly requested.
- Prospect Outbound Data: Outbound records that do not convert into a sales dialogue are reviewed, cleansed, or safely archived within 12 months of initial contact.
7. International Data Transfers
Our primary CRM architecture is built using GoHighLevel. Depending on technical parameters, data may be stored on servers located within the United States. Where personal data is transferred outside the United Kingdom, we ensure a similar degree of protection is afforded to it by ensuring Standard Contractual Clauses (SCCs) and the UK International Data Transfer Addendum are actively enforced with our sub-processors.
